What is a Form?


The Form contains all the sections and questions designed to meet your business needs and generally mimics a paper-based form or questionnaire that your company currently uses. 


Our electronic form or e-form collects data but stores it in digital form so that once captured it can be used in other parts of your business. We refer to the data collected as Form Submission Data.  Essentially it is the collection of answers to questions, photographs and metadata associated with the form submission such as GPS location, date/time stamp and more.


The Form is the item that Mobile Device User gets to interact with so its important that the flow makes logical sense in the way its used. Each Form completed on the mobile device will have Form Submission Data associated with it.


Forms can be implemented with Workflow against questions to allow a more efficient data capture process for the Mobile Device User.  This makes the task completion faster and more consistent in its data gathering.   For example, drop down selections ensure data that can be analysed for trends after the task has been completed.


While we have created sample forms that can be used out of the box, often you may have a specific requirement. We have expertise and services that can assist using our experience in the manner in which mobile users expect the form to flow on current mobile platforms.are


NOTE : 

While changes to Forms are easily arranged, any changes to Forms need to be scheduled in sync with the mobile user Tasks.

It's logical that if you change the Form with the data being collected then the data collected against old forms will be out of sync with the new form !

So Tasks in the field need to be submitted before implementing a new form as unsubmitted Submission Data will be lost.



What is a Task Template?


Once the form has been selected, customised or designed, we're ready to assign tasks against  a Task Template.  

The Task Template contains all the functions and workflow associated with a specific type of Task. 


Each Task Templates will have the following configured:

  • Task Item fields which Back-Office Administrators will complete when entering Tasks for Completion
    • Form that will be required to be completed against each Task Item
    • Workflow configuration for Tasks associated with the Task Template

 

What is a Task?


A Mobile Device User will be allocated a Task by the Back Office Administrator to perform on their device. The Task will be assigned to a Task Template and an empty Form is created and pushed down to the Mobile User's device on the Available Date. 


Once the Task is available on the Mobile Device User's device, the Form can then be completed my the Mobile User regardless of the device being connected to the  mobile network or not.  The Task can be suspended during the process.  Data captured will be retained until submitted by the user.


The Task then enters the Reviewing Stage which is the next stage in the Task Lifecycle. 

The Reviewing Stage is performed by a user with a access to the Road Warrior console that has been assigned the Role of a Reviewer who is able to inspect the captured data and make adjustments to those areas that might need fuller explanations, costs assigned etc. 


A Reviewer may then submit the inspected Task for Approval to a user nominated as having the role to Approve the finalised Task. 

(Note: In many instances the Reviewer and Approver may be the same user having been assigned both Roles.)


All activities associated with a Task are monitored and tracked by Road Warrior automatically including overdue status, start and stop date and times for each user as the Task flows from one stage to another in the Task Lifecycle.
